Program Information

Class Availability & Registration Confirmation

All registrations are processed on a first come, first served basis. You will receive a confirmation email after you have completed your purchase online or once your completed registration form and payment have been processed in the office. Please contact the Operations & Community Services Department to inquire about your program registration status if you have not received an email confirmation.

Program Age Requirements

Each program has a specified age range that corresponds to the program content. We accept registrations if the individual is, or will be turning, the specified age within the timeframe that the program operates.

Non-Sufficient Funds (NSF) Cheque Policy

An administration charge of $20.00 will be charged for all cheques returned as NSF.

Program Updates and Cancellations

The Township of Oro-Medonte Operations & Community Services Department reserves the right to cancel or alter any programs, times, costs, or locations as required, without any notice, due to lack of registrations, change of policy, or availability of facilities or instructors. Cancellation notice will be sent by email to the address listed on your account.

Weather Cancellations

Our priorities are participant safety and open communication. Sometimes unexpected events necessitate that a program or service must be moved, postponed or cancelled. In those circumstances we will communicate the relevant information as soon as it is available. You will receive an email notification regarding the program changes/cancellations. Every effort will be made to makeup the missed class, by either adding a class on at the end of the session, or issuing a partial refund.

Timing of weather cancellation announcements

For daytime classes, participants will be informed as early as possible if a class will be cancelled. A notification email will be sent, and in some time sensitive instances, a telephone call will also be made.p

For evening programs the decision to cancel/run activities will be made by 3:00 p.m. Please use your own best judgment to assess local road conditions before venturing out.

Cancellations Explained

Weather

Activities may be cancelled, postponed or moved due to inclement weather. Following heavy rains, the Department may close or restrict the use of outdoor facilities.

Instructor Availability

Instructors may have an unforeseen availability due to extenuating circumstances. Every effort will be made to reschedule any affected classes.

Facility Issue

Unforeseen circumstances may cause a facility to be unavailable or unusable. Every effort will be made to relocate and/or make up the affected classes.

Wait Lists

If you cannot be accommodated in your program choices, your name can be added to a wait list. Please indicate this on your registration form or use the waitlist function when registering online. You will not be charged to be put on the waitlist. Payment for the activity will only be required if you can be accommodated into the class.

When a class is full, a waitlist is created. Waitlists are managed in the following manner, if feasible:

  • Extra spots in the existing class are added
  • If there is enough interest, another class may be created to accommodate those on the waitlist

Refunds

The Operations & Community Services Department endeavours to offer programs of the highest quality
and content, however, should a program not meet your expectations

A full refund will be issued:

  • For any program cancelled by the Operations & Community Services Department;
  • For a refund request made prior to the second day of any program (subject to an administration fee)

Pro-rated refunds will be issued:

  • For a medical reason if accompanied by a doctor’s note (subject to an administration fee)
  • All refund requests must be made directly to the Operations & Community Services Department. All refunds are subject to a $10.70 administration fee per registrant transaction

Refunds will not be issued after mid-point of the program.

Everyone Gets to Play

The Township of Oro-Medonte would like to ensure that no one is excluded from recreation programs or activities offered by the Township solely by an inability to pay registration fees. To help make this possible, financial assistance is available to qualified applicants for most recreation programs and activities offered. Contact the Operations & Community Services Department for more information.
